Common Issues
Transcription is slow
Transcription speed depends on your device and internet connection, and the length of the audio file.
**If transcription is slower than expected:**
1. Close other browser tabs and resource-intensive applications
2. Check your internet connection for stability
3. For very long recordings (60+ minutes), consider splitting into smaller files
4. Try using a different browser (Chrome, Safari, or Firefox) for best performance
Note generation takes too long
Note generation typically takes 30-60 seconds depending on transcript length.
**If it's taking longer:**
1. Close other browser tabs and apps to free up resources
2. Check that your internet connection is stable
3. Try refreshing the page and starting again
**Tip:** Shorter, more focused transcripts generate faster than long, detailed ones.
Audio file not recognized
Hermetiq supports most common audio formats: MP3, M4A, WAV, AAC, and more.
**If your file isn't recognized:**
1. Check that the file isn't corrupted (try playing it in another app)
2. Ensure the file extension matches the actual format
3. Try converting to MP3 or M4A using a free tool like Audacity
**Voice Memos:** Export from the Voice Memos app, don't just drag the file.
Transcription quality is poor
Transcription accuracy depends on audio quality.
**For best results:**
- Use a quiet recording environment
- Position the microphone close to speakers
- Avoid background music or TV
- Use a dedicated microphone if possible
**If audio quality is low:**
- Hermetiq does its best, but very noisy recordings may have errors
- Review and edit the transcript before generating notes
Features won't load
Hermetiq requires a stable internet connection to process audio and generate notes.
**If features aren't loading:**
1. Check your internet connection
2. Disable VPN if you're using one—it can interfere with connections
3. Try refreshing the page or clearing your browser cache
4. Ensure JavaScript is enabled in your browser
**If it keeps failing:** Contact support with your browser and device details and any error messages.
Hermetiq won't load in my browser
If the Hermetiq web app won't load:
1. **Clear cache:** Try clearing your browser cache and reloading
2. **Try another browser:** Use Chrome, Safari, or Firefox for best compatibility
3. **Check internet:** Ensure you have a stable connection
4. **Disable extensions:** Some browser extensions can interfere—try in incognito/private mode
**Compatibility:** Hermetiq works on any modern browser and device—desktop, tablet, or phone.
How do I backup my data?
Your data is stored securely in your Hermetiq account.
**To backup:**
1. Open a session in the Hermetiq app
2. Copy the transcript or export notes as PDF
3. Save to a secure location (your EHR, cloud storage, etc.)
**Tip:** Enable auto-delete in Settings to control how long data is retained.
How do I delete a client and their data?
To permanently delete a client and all associated sessions:
1. Select the client in the sidebar
2. Click the menu icon (three dots)
3. Select "Delete Client"
4. Confirm the deletion
**Warning:** This action cannot be undone. All sessions and notes for this client will be permanently deleted.
