How to Record & Transcribe Therapy Sessions Using Your Phone

You don't need expensive equipment or third-party recording apps to capture therapy sessions. Your iPhone or Android phone already has a built-in voice recorder that produces high-quality audio — and it never leaves your device until you choose to upload it.

This guide walks you through recording a session with your phone's native app, transferring the file to Hermetiq, and generating clinical notes in minutes.

Why use the built-in recorder?

Native recording apps like Apple Voice Memos and Google Recorder are pre-installed, free, highly optimized for battery life, and store recordings locally on your device — making them one of the most secure options for sensitive session audio.

Recording on iPhone (Voice Memos)

Apple's Voice Memos app comes pre-installed on every iPhone. It records in high-quality AAC/M4A format — which Hermetiq fully supports — and offers lossless recording if you need it.

Step 1: Record your session

Open Voice Memos

Find the Voice Memos app on your iPhone (it's in the Utilities folder by default, or just search for it). Tap the large red record button to start.

Position your phone

Place your phone on the desk between you and your client, screen facing down. Voice Memos picks up room audio well — there's no need for an external microphone in a typical office setting.

Stop and save

When the session ends, tap the red button again to stop. The recording is saved automatically. You can rename it (e.g., "Session — Mar 4") by tapping the title.

Lossless recording (optional)

For the best transcription accuracy, go to Settings → Voice Memos → Audio Quality and select Lossless. Note that lossless files are larger — roughly 10× the size of compressed recordings.

Step 2: Upload to Hermetiq

You have two easy options to get your recording into Hermetiq:

Option A — Upload the audio file directly

This is the fastest method. Open Voice Memos, tap the recording, then tap the share icon (⬆) and choose one of these:

  • AirDrop to your Mac, then drag the .m4a file into Hermetiq
  • Save to Files → iCloud Drive, then open Hermetiq on your computer and upload from iCloud
  • Email it to yourself and download the attachment on your computer

In Hermetiq, click Upload audio, select the .m4a file, and transcription starts automatically.

Option B — Use Apple's built-in transcription and paste

Starting with iOS 18, Voice Memos can transcribe recordings on-device. If you see a transcript below your recording:

  • Tap the transcript to view it in full
  • Select All → Copy the text
  • In Hermetiq, paste it into the transcript editor and generate notes from there

This skips the upload entirely — useful if you want to keep the audio file off the network altogether.

Supported formats

Hermetiq accepts MP3, M4A, WAV, OGG, FLAC, and WebM files up to 100 MB. iPhone Voice Memos exports as .m4a by default — no conversion needed.

Recording on Android (Google Recorder & Others)

Most Android phones ship with a voice recorder app. On Google Pixel devices, the Recorder app includes on-device transcription. Samsung and other manufacturers include their own recorder apps with similar features.

Open Google Recorder

The Recorder app comes pre-installed on Pixel phones. Tap the red microphone button to start recording. The app shows a real-time waveform and can even transcribe live on-device.

Stop and save

Tap the pause button, then Save. Give the recording a meaningful title. Files are saved locally in .m4a format by default.

Upload to Hermetiq

Transfer the recording to your computer:

  • Google Drive — tap Share → Save to Drive, then access it on your computer
  • USB cable — connect your phone and copy the file directly
  • Nearby Share / Quick Share — wireless transfer to a nearby computer
  • Email — share the recording as an attachment

Then open Hermetiq and upload the file. Transcription and note generation work the same regardless of device.

Pixel Recorder transcription

Like Apple, Google Recorder on Pixel phones can transcribe on-device. You can copy the transcript text and paste it directly into Hermetiq's transcript editor if you prefer not to upload the audio file.

Samsung — Voice Recorder

Samsung devices include the Samsung Voice Recorder app (find it in the Samsung folder or search for "Voice Recorder"). It records in M4A or AMR format. After recording, use Share → Google Drive, Email, or a USB connection to transfer the file to your computer, then upload to Hermetiq.

Other Android Phones

Most Android manufacturers (OnePlus, Xiaomi, Motorola, etc.) include a "Recorder" or "Sound Recorder" app. The workflow is the same: record, save, transfer to your computer, upload to Hermetiq. Audio Quality Tips

  • Place the phone centrally — between you and the client, ideally on a stable surface. Avoid holding it or placing it in a pocket.
  • Minimize background noise — close doors and windows. White noise machines are fine (the AI handles them well), but avoid music.
  • Use compressed format for long sessions — the default M4A/AAC setting is ideal. It keeps file sizes small (a 50-minute session is typically 15–25 MB) while maintaining excellent speech clarity.
  • Test first — do a quick 30-second test recording and play it back to make sure both voices are audible before your first real session.

Always obtain informed consent

Recording therapy sessions requires explicit informed consent from your client. Check your jurisdiction's laws and your licensing board's guidelines on session recording. Many therapists include recording consent in their intake paperwork.
  • Document consent in writing — include it in your informed consent form or as a separate recording consent addendum.
